1 What may be uploaded
Upload only images, video, audio, or extracted frames that you created or are licensed to use, with permission from every person whose image, voice, or identifying features appear. Suitable material includes authorized adult-model demonstrations, licensed illustrations, your professional portrait, or appropriately de-identified technique demonstrations that meet these rules.
You must check both ownership of the media and permission from the people depicted. Permission from a photographer does not replace a model release, and a model release does not replace the photographer's copyright license.
2 Patient confidentiality
Patient material must be de-identified before it is transmitted to DocuHandsOn. Remove identifiers from the image, audio, captions, filenames, metadata, and surrounding context. Faces, names, contact details, patient numbers, patient-linked dates, addresses, visible charts, unique tattoos, jewelry, recognizable voices, and other details can identify someone.
Blurring a face alone does not establish de-identification. Consider whether a person could be identified from the remaining content or from other information reasonably available. Where HIPAA applies, use a valid de-identification method; a general list of examples is not a substitute for that process.
Do not upload identifiable patient material, even with a signed image release, unless a separately approved patient-data workflow and the required agreements and safeguards are in place. Collect and retain any required patient permission or health-information authorization in the practice's authorized system, not in DocuHandsOn.
3 Scope of permission
Permission must identify the media, intended purpose, allowed audience, allowed uses, and duration. Private professional documentation, public website publication, inclusion in a shared library, educational presentations, and advertising are different uses. Permission for one does not automatically authorize another.
Public distribution requires an express public-use choice. Promotional use or reuse by DocuHandsOn outside the user's chart requires a separate, specific choice. Do not obtain permission through preselected boxes, silence, bundled treatment consent, or pressure. Refusal must not affect the person's care. For identifiable professional portraits or adult-model media, obtain a release suitable for the permitted use and jurisdiction.
4 People and content that must not be uploaded
Do not upload images of minors under this policy; material captured without permission; hidden-camera recordings; intimate or humiliating content; unrelated third parties; or a recording that violates applicable recording-consent law. Do not present synthetic imagery as proof of a real treatment or imply endorsement by a depicted person without permission.
Do not materially alter images to misrepresent anatomy, the procedure performed, clinical results, credentials, or consent. Label illustrative or synthetic depictions where needed to prevent confusion. Keep any original permission and ownership evidence available for a legitimate verification request.
5 Private use and public publication
Choose the intended visibility before saving or sharing. Before public publication, separately confirm that the selected media may be publicly displayed and that all required permissions cover internet publication and distribution. Public copies may be indexed, captured, printed, downloaded, or redistributed outside your control.
You must not publish patient treatment histories or associate a public technique chart with an identifiable individual patient. Public technique demonstrations must not imply that a depicted person has a particular diagnosis or endorses a practitioner unless that statement is separately authorized and lawful.
6 Processing and licensing
Uploading allows DocuHandsOn and its service providers to process the material only for the Service functions and sharing settings you select, as described in the Terms. Technical processing may include resizing, cropping, frame extraction, conversion, storage, and display. Review the resulting media before use.
There is no automatic permission to move a private upload into the general library, use it in advertising, clone a depicted person's voice, or train an AI model on it. Such uses require separate permission covering that purpose and any applicable legal requirements.
7 Withdrawal complaints and removal
Provide depicted people a practical way to contact you about withdrawal or misuse. If permission is withdrawn, stop new uses that depend on that permission, remove or unpublish affected content under your control where legally required, and notify contact@docuhandson.com if operator action is needed.
Withdrawal may not invalidate prior lawful use or enable retrieval of third-party copies, but it is not ignored merely because material was public. We may restrict or remove content while reviewing a substantiated rights or confidentiality concern. Removal procedures do not replace the practitioner's legal obligations or incident-response duties.
8 Upload acknowledgment
Required unchecked box before upload:
"I own this media or have permission to use it. I have the permissions required from the people depicted. This upload contains no identifiable patient information or images of minors. Its intended use is covered by those permissions, and I agree to the Image Upload and Consent Rules."
9 Separate public publication acknowledgment
Required unchecked box before making a chart or media public:
"I authorize publication of the selected chart and media on a public page. I have verified permission for public use and removed patient-identifying information. I understand that others and search engines may view, copy, or index public content, and that unpublishing may not remove copies outside my control."
The account holder's checkboxes record their representations; they do not replace consent from a person depicted or a legally required patient authorization.
